Word or excel documents state they are unavailable

I am not sure what is going on but after I create a document and save it. If
I want to retrieve that document for later use is tells me that the dcoument
is not available. Then after hitting ok and closing word another box appears
saying the file Normal already exists. Do you want to replace the existing
file? Then of course it give the option of no, yes or cancel. I am never
sure of what to mark and wonder if this is some kind of virus.
