Excellent question! I am happy that you want to retain the historical data
on the task, including the amount of Actual Work performed by the original
resource. Here's a good way to accomplish what you want:
1. Make sure the second resource is a member of the project team (Tools -
Build Team from Enterprise)
2. Close the Team Builder Wizard, if it is still open
3. Apply the Gantt Chart view
4. Select the task in which you want to switch the resources
5. Click the Assign Resources button (the "talking heads" button) on the
Standard toolbar
6. Select the resource currently assigned to the task
7. Click the Replace... button
8. Select the new resource and then click OK
9. Click the Close button to close the Assign resources dialog box
To confirm what just happened, do the following:
1. Click Window - Split
2. Right-click in the lower viewing pane (Task Form) and select the
Resource Work details
In the Task Form, you should see that TWO resources are now assigned to this
task: the original resource AND the new resource. Notice, however, that
the original resource's Actual Work hours have been retained, but that
his/her Remaining Work has been reduced to 0 hours. Notice also that the
new resource has been assigned the Remaining Work hours previously assigned
to the original resource.
As a personal best practice, I like to add a note to the task stating that
the resources were reassigned during the life of this task, and indicate the
date on which the reassignment occurred. Hope this helps.
