Delegation Process

Claudia

Hello,

just a few questions:
1) is there a way to delegate a task to more than one person in PJWA?
1) is there a way to keep the task open for tracking purposes for both
resource (delegated resource and previuos resource)?
2) is there a way to create a task within a summary task where you
have not been assigned previousely by the manager?

Thanks a lot for helping

Claudia

To answer your questions:

1. Task Delegation has a one-to-one relationship, from one resource to one
other resource.

2. Yes, it is possible for both the person who delegated the task and the
person to whom the task is delegated to BOTH see the delegated task on their
timesheets. The person delegating the task to someone else should select
the "All delegated tasks that I track" option on the Show section of the
Delegation portion of the Tasks page. When they actually do the task
delegation, they should select "Yes" to question #2 on the Delegate Tasks
wizard. The question asks, "Do you want to continue to track this task on
your timesheet?" When the task is actually delegated, the task will be
formatted in yellow on the timesheet of the person who actually did the
delegation, however, all columns in the task sheet and all cells in the
timesheet will be locked and cannot be changed for the delegated task.

3. Yes, it is possible to create a new task within a summary task to which
the resource does not have at least one assignment, but it requires a little
trick to make this happen. To accomplish this, assign the resource to the
desired summary task at 0% Units, and make sure that you DO NOT assign them
any Work hours on the summary task. After the assignment has been
published, the resource will be able to create new tasks in the required
summary task.

Hope these answers help.

Hi Claudia,

Currently, the delegation function is limited to one
person.

You can keep the task open for the delegator. This is
known as a vertical delegation versus one where you just
pass it on, which is a horizontal delegation. You can
only do two consecutive vertical delegations to the same
task in PWA.

I'm at home so I don't have the system in front of me, but
I believe there is a checkbox or something that states
maintain ownership when you delegate to do this. This
will keep the task in the timesheet of the delegator.

The caveat is that now the vertical delegator must approve
task updates before these are sent to the project manager.

As for the last item, I would have to research, but I
don't believe it is possible.

Hope this helps.
