How do I move custom label definitions to another computer?

J

JBrianH

I have recently been upgraded to a new computer. I have access to my old
computer files through an image file, and have been able to move copies of my
normal.dot and other templates over to the new installation. However, I
don't know where the custom label definitions I have created are stored.
They don't come across with the other templates, and I don't know what file I
would need to copy to get them.

I've been researching this just today, having found that the label
definitions I created in Word 2002 apparently didn't make the transition to
Word 2003. They're Registry keys, which you can find at
HKEY_CURRENT_USER\Software\Microsoft\Office\x.0\Word\Custom Labels, where
x.0 = your Word version (11.0 for Word 2003, 10.0 for Word 2002, 9.0 for
Word 2000, etc.). You should be able to export these keys to a floppy and
import them to the new computer (though this is a gray area for me, and
you'd be well advised to get advice from someone who actually knows how to
use the Registry).

The label definitions, as indicated by Suzanne, are stored in the registry.

*Provided that the Word versions are similar* you can export the registry
key to a text file.

If you are changing between Word versions, then it is wiser to simply write
down the customized settings and re-enter them in the new version. I am
pretty sure that Word 2002 and 2003 use the same configuration (albeit in a
different registry key appropriate to the Word number) but Word 2000 and
2002 keys are incompatible. I don't know about Word 97.

Word 2003 will produce a file similar to the following in which the labels I
commonly use are defined. This is produced by selecting the custom labels
key in the left window and selecting file (or registry) > export (depending
on the Windows version).

Windows Registry Editor Version 5.00

[HKEY_CURRENT_USER\Software\Microsoft\Office\11.0\Word\Custom Labels]
"Viking L24-100 3x8
A4"=hex:4c,03,5c,00,00,00,6c,00,5d,00,2d,0e,00,00,c1,07,00,\
00,8d,01,00,00,fe,01,00,00,9e,0e,00,00,c1,07,00,00,03,00,08,00,01,00,02,00,\
00,00

This produces a text file - filename.reg - which you can select in Windows
Explorer, then right click and Merge to incorporate into the registry.

Here's the reply I got from Beth Melton about this. Note that the question
was about moving label definitions from Word 2002 to 2003:

"Copying Registry information isn't as simple as copy/paste. You would need
to create a new key and copy/paste the binary data.

"I would export the Registry branch, modify the data and change 10 to 11
(right-click the *.reg file and select Edit), and then merge the change into
your Registry.

"I just tried it here and it appears to work. I tried this with my
Office\9.0\Word\Custom Labels key and the custom definitions display in Word
2003."

This suggests that Word 2000 and 2003 keys may not be incompatible.

Merging the reg file creates the key if it is not already present. I cannot
comment on using the Word 2003 key with 2000 (after editing the version
number) but it didn't work when I tested it the other way from Word 2000 to
2002. It /appeared/ to work and the labels showed in the list but they did
not work correctly, so when moving between these Word versions I would err
on the side of caution and record the numbers.

I don't recall any issues with Word 2002 to 2003.

Thanks to all of you for your replies. It's never as easy as one would hope,
is it? Your replies are very helpful.
