Dear Microsoft Office Project user,
I understand that you are a beginner to Microsoft Office Project, but I can
assure you that all your requirements can be satisified and made simple, if
you follow the below minimal steps properly in Microsoft Office Project
1. Gantt Sheet view for task entry
2. Resource Sheet view for resource details entry
3. Assign Resources opition on the Standard toolbar for assigning resources
to individual / multiple tasks.
Hoping you have created the schedule, I am providing some quick approaches
which would answer most of your the requirements in your earlier mail.
1. First, classify if your requirement as is it towards resources or tasks.
If your requirement is towards resources, change your view to Resource Usage
else Gantt Sheet. For example about your requirement on who was available to
work an extra 10 hours, is resource oriented. So, the view should be
Resource Usage
2. Customize your view according to your needs. It could be combination of
grouping fields, filtering columns, or even inserting fields to the view. For
example, to know the resources who are available to work for extra 10 hours,
indicates you wanted to know the remaining availabilty of the resource for a
day or week. In the time-phased (right hand side) of Resource Usage view,
right click and choose "Remaining Availability" field. This field would
indicate the hours the resource is available to work.
3. Zoom-In / Zoom-Out: The advantage you would have in any timescale based
view is the you can zoom-in to hourly basis and zoom-out to weekly / monthly
/ yearly basis.
You required a template to fill in the data and which projects the other
data required. Each user has varied requirements in terms of entry, analysis
and projection of data from Microsoft Office Project.
So, my suggestion is trying customizing the view to satisfy your own unique
requirement. If you need any help in terms on what the field represents, you
see the exhaustive and descriptive F1 help of Microsoft Office Project, or
just do a post in this forum
Please let us know if this helps.

Thank you for your swift response --- to make this even more complex ---
imagine that I have production support resources that are US based & Non-US
based that are dedicated to multiple projects and I needed to know at any
given time things like: who was available to work an extra 10 hours; who was
going over in hours on a certain project; which project was approaching
maximum hours or dollars; items like that -- what is happening is that we are
growing from a handful of production support resources both locally and
internationally and we need to be able to easily manage this change --- any
input would be helpful --- a dummy template would be outstanding & that maybe
I could plug in project names, resource names, dollars, hours, something that
could easily be tweaked --- I hope that is not asking too much --- I am not
very well versed in Microsoft Project a real beginner, so something is far
better than I have now --- thank you so much!!!

Dear Microsoft Office Project user,
I understand the question as you want to measure the resource usage of
outsourced and internal resources of your project.
If you are looking for a solution in Microsoft Office Project standalone
edition, my suggestion is two-phased approach.
Phase 1: Custom field for resource.
1. Change your view to Resource Sheet.
2. You need to have a custom field, say "Internal", for resources. Select
Tools > Customize, Fields.
3. Select "Flag" as Type of the custom field and rename "Flag1" to
"Internal". Click on OK.
4. Insert the column "Internal" in your resource sheet and classify the
resources based on this field.
Phase 2: Measurement
1. Change your view to Resource Usage / Resource Sheet
2. Choose Project > Group By:, Customize Group By.
3. Select "Internal" in Group By field.
4. Click "OK". Resource details would be grouped under Internal: True and
Internal: False.
5. Customize the view to display the required details.
If you are looking for a solution from Microsoft Office Project server, I
request you to post this question under Microsoft Office Project Server DF

I need to know what is the best way to measure production support resources
on projects --- this would be a way to track outsourced and internal
resources --- either through Project Management Software or through Access
Database --- thanks!
