Resource views

I want to be able to view all of the resource's tasks of all of the projects
they are involved in using a calender view.

I will then be able to see when the resources have free slots and I can drag
and drop tasks to suit them better.

Can this be done?
Any feedback would be great. I am really desperate.

WSH,

If you are using a "Resource Pool" across Multiple Projects you can create a
Master or Consolidated Project, viewing resource tasks in a Calendar view
would be possible but if you are looking to identify where people may have
some free time I would reccomend looking at the Resource Usage view and
including 2 additional fields in this view, Remaining Availability and
Overallocation.

You can do this by right clicking on the timephased element of the screen
and selecting these fields from the list provided. In order to make the
information more meaningful/less confusing I tend to make the Remaining
Availability stand out by changing the cell colours from yellow to another
colour - this results in a contrasting band of values running horizontally
across the timephase display. At the resource level you will see the 3
values and "at a glance" see if there are any points in time where the
resource has a Remaining Availability value. You can zoom out to view 3 days
or a week at a time which provides a quick short term perspective on demand
for resources.

You can "collapse" all the resources in this view by clicking once on the
Resource Name column heading and then clicking the - sign button on the
Formatting Toolbar, this will provide you with a high level view on demand
for each resource in your resource pool.

I hope this is of some assistance, let me know if it works or you need more
help.

Dominic,

So sorry for the late reply. I didn't think I would receive a reply so
quick! First of all, THANK YOU for taking the time to write me a long reply
back to me. Second of all, u have helped me in a way by looking who or what
is overallocated, I can level the tasks better if that makes sense!

I was actually still hoping to drag and drop tasks to resources that are
free but somehow I don't think MS Project will allow you to do that!

Thanks again!

Hi Dominic,

I have a bit of a problem with resource usage atm. The hours don't seem to
add up in the field 'work' for the resources. There should be 7:30 hours a
day for each resource but for some reason it says 7:50??

I can't seem to figure out HOW project works out how much work each resource
does. For example if say a resource is assigned to a task that takes 4.15hrs,
the 'work' field should state 4.15hrs and calculates the remaining
availability right? But it doesn't seem to do that, it puts these other hours
in it and I can't put my head round it what and why Project is doing it.

Any ideas?

The work values you are seeming are decimal so 7:50 is seven and a half
hours, equating to 7 hours and 30 minutes not 7 hours 50 minutes.

If you configure the resource usage view as I suggest to show work.
remaining availability and over-allocation in the timephased element you
would be likely to see the following in instances where a resource works to
a 7.5 hour day.

If you assign a resource 4 hours work in a single day the work will show 4
hours, remaining availability will be 3.5 hours with over-allocation for the
day being blank.

If you assign a resource 7.5 hours work in a single day the work will show
7.5 hours, remaining availability will be 0 hours with over-allocation for
the day being blank.

If you assign a resource 8 hours work in a single day the work will show 8
hours, remaining availability will be 0 hours with over-allocation for the
day being 0.5 hours.

Without seeing your plan it is difficult to comment further.

Dominic, hello again.

I just looked at the reply you sent me on the 9/12/05. You said that if you
have a master project with resources in a resource pool, u can view all tasks
in a calender view.

I have that, how do you do it?
