Setting Enterprise Project/Resource Calendars

R

Rhonda

I have tried a number of ways to accomplish the following:

Our work times are 8:00 - 5:00 (8hrs per day M-F).
Resource availabilty is 6 hrs per day. I have tried
setting global calendars so that all projects use the same
company standard calendar with the above times. I set the
hours per day to 6, week to 30, months to 20.

When enterprise resources are assigned to tasks they are
being scheduled (allocated) 8 hrs per day.

How do I set the global calendar so that my resources are
only scheduled for 6 hours a day. i.e. If I have a task
that is 40 hrs of work, with 1 assigned resource, I would
expect the duration to be 6 days.
Also, how to I ensure each project is using the global
company calendar.
Can someone clarify this for me?
Thanks, Rhonda

Given the situation you want to model in your projects, I believe you will
set your company base calendar in the Enterprise Global to match a 6-hour
working day. To do this, complete the following:

1. Open the Enterprise Global
2. Click Tools - Change Working Time...
3. Select your company base calendar from the For: list at the top of the
dialog box
4. Select the Monday through Friday column headers to select every work day
on your calendar
5. Set the From and To values to model a 6-hour working day, such as 9:00
AM to 12:00 PM and 1:00 PM to 4:00 PM
6. Click the OK button
7. Save and close the Enterprise Global, then close Microsoft Project

Once you have logged into Project Server again using Project 2002, you will
get the latest changes to this calendar. Now, here's what you will need to
do in addition to the above steps:

1. Open any current project
2. Make sure your 6-hour company base calendar is set as the Project
Calendar (click Project - Project Information...)
3. Make sure the same company base calendar is set as the Non-Working Time
Calendar (click Format - Timescale and then click the Non-Working Time tab)
4. Click Tools - Options and then select the Calendar page
5. Set the Default Start Time and Default End Time to match the values in
your company base calendar
6. Set the Hours Per Day value to 6 and the Hours Per Week value to 30
7 Click the Set as Default button, then click the OK button

You will need to repeat this process for EVERY project currently using your
company base calendar as the Project Calendar. We did the second set of
seven steps to "sync up" the calendar settings between the project Options
page and the company base calendar. When you assign resources to tasks, you
will now see that it calculates a 6.67 day Duration for a task to which a
resource is assigned at 100% Units and 40 hours of Work. Hope this helps.
